Absolutely. If you require extra assistance, kindly contact us, and we will assign you to the appropriate paralegals. We want to work with you as a partner in your law firm’s growth, and our service is built to scale with your requirements.

Do you train the Paralegals at Immigration Paralegal Services (IPS)?

We do not train the Team members directly for you. On the other hand, any team member who works with you has the professional experience and expertise to complete the duties you’ve requested. The Immigration Paralegal Services (IPS) staff is well-versed in a variety of software packages and internet technologies. However, you will need to train them in how your company operates and your company’s unique systems and procedures. We provide free billable 4 hours to train your Virtual Paralegals. We prefer that you have a written manual.

What is the turnaround time on the tasks performed?

Depending on the difficulty, we attempt to accomplish all work as quickly as possible. All tasks are done in the order in which they are received unless the given assignment is marked as urgent. If it is determined that the assignment is an emergency, it will be given top priority and completed as soon as possible.

At any given time, a paralegal may be supporting many attorneys and law firms. Each Paralegal will advise clients of the turnaround time for each project. Clients are asked to provide any turnaround time parameters or expectations when delegating the assignment. High-level work (emergency services) that must be completed in less than 24 hours or weekend help may be subject to approval and additional charges.

Are Paralegals flexible in the hours they work? Can they be called on at any time for needed work, including nights and weekends?

Yes, you can request to complete the urgent task outside standard working hours. Each Paralegal works with several attorneys, law firms and informs clients about the turnaround time for each job. Any criteria or expectations for turnaround time should be communicated to the Paralegal by the Client. The work which needs to be completed outside standard working hours (emergency services) that must be completed in less than 24 hours or weekend help may be subject to approval and additional charges.

What does the Client Success Manager do?

Our Client Success Manager is here to not only answer your questions and resolve any issues you may encounter while working with us but also to assist you in getting the most out of the services we provide.

Before setting up a regular Annual Review Meeting for each year, your Client Success Manager will plan a more formal 3 Month Review Meeting to see how your first three months have gone and see if there are any areas where you could benefit from further support.

How many clients are assigned to one Paralegal?

Our team members typically support two to six clients at any given time. But you would be charged for the time spent on your account. Virtual Paralegals remain available to work for you when you select Full-Time/Part-Time retainer packages as per the terms.

To ensure accurate, up-to-the-minute time recording, we use online stopwatch software. We keep track of our time in ‘real-time.’ This means that the timer runs as tasks are accomplished, and when the task is completed, the time is registered.

How many people could use the Paralegal they sign up with at a firm?

Our paralegal service is available for all employed people of the Client’s company. Any lawyers at your law firm may utilise the Paralegal. Those lawyers must be employed by your law firm.

What is a Corporate Email?

Corporate email is a minor feature that makes a big difference. It gives the impression to your clients that your Virtual Paralegal is a member of your firm’s team. This means that instead of using our email address, your Paralegal can use the corporate email of your organisation to correspond on your behalf. Your IT department should assist you with setting up a new email account. Depending on your domain provider, a small price may be necessary to create a new email address. We are not liable for any payments associated with creating a corporate email.

Can I assign a law firm email to my Paralegal to communicate with clients, other counsel?

Yes, our paralegal services are designed to be adaptable to your requirements. We want to work with you to help you build your business. You can assign your law firm email to Virtual Paralegal to communicate with your clients and counsel on your behalf; you can instruct your paralegal to copy you every time they send emails.

Can my Paralegal use practise management software like Clio, PracticePanther, Best Case, etc.?

Yes, our paralegal services are designed to be adaptable to your requirements. Our team member has worked with various practice management tools and can rapidly get up to speed on any systems you would want to use. Please note that Immigration Paralegal Services (IPS) needs the Client to provide access to any systems and programmes if they want the Paralegal to use specific software while working for them.

Can I use my Paralegal to answer all my calls, aka a receptionist service?

Although our paralegals make inbound and outbound calls, they do not handle receptionist services or make sales call. Paralegals work on a flexible basis and may not be available during regular business hours.

Do your Team Members call clients to gather information?

Yes, our trained paralegals have the knowledge and experience to perform all of your in-house paralegal’s tasks without needing to be present at your business. Virtual Paralegals work remotely, but they are well-versed in bookkeeping, data entry, case management, and more!

Do your Virtual Paralegals submit applications to government authority?

Yes, Team Members have experience with e-filing and can file documents and applications on your behalf through government agency portals.

Can Virtual Paralegals file documents and applications electronically?

Yes. e-filing is now available in several countries! We have prior experience and will need log-in credentials.

Frequently Asked Questions on Signing up and Onboarding

How did Immigration Paralegal Services get started?

Increasing the turnover by 250% and profit by 450%, I led a loss-making law firm to become highly profitable. Now, I am utilising my skills to help other professionals.

Many law firms, in my experience, spend a lot of money on in-house human resources. There is an excellent opportunity for law firms to save money and increase profits by hiring virtual staff. To assist law firms, I dedicated 6 months of my time to researching the legal process outsourcing industry and learning about document sharing systems. My colleagues are well-experienced law practitioners. We decided to use the technology to help lawyers reduce their operational burden and improve profitability. This is how Immigration Paralegal Services got started.

Is there any Onboarding Fee?

No, there are no onboarding fees to start working with Immigration Paralegal Services.

Do I have to sign a Contract?

Yes, it is mandatory to sign a contract, but we don’t expect any long-term commitments. Our virtual assistant services are available on a three-month rolling contract. We encourage you to provide us with 30 days notice before terminating the contract to stop the auto-renewal.

How do I get Started?

It’s simple! We start with a no-obligation consultation meeting to discuss your requirements and see how we can help you in the best way possible. We’re the best fit most of the time, but not always. We’ll go over everything with you and assist you in making your decision. It’s all part of our small-business approach. Once you select the package you require, we sign the Retainer Agreement and Terms of Business. We start working for you once the invoice is paid.

How quickly can we get started working for you?

Once we’ve had a chance to talk about your requirements and you’ve decided to move forward, we usually set up your account. A professional virtual paralegal will be assigned to your firm within 24 to 48 hours after completing the onboarding process.

Why can't I register straight immediately on the internet?

Here’s a small secret about the virtual paralegal industry we’ll tell you about. Many of our competitor virtual paralegal firms take shortcuts to save them the “trouble” of actually getting to know you and your business; their programme will randomly assign you any paralegal from the hundreds of virtual assistants enrolled on their system. You sign up in a matter of seconds, and you’re done. You’ve got a new ‘matched’ remote worker to help you out. Their fast access strategy may save you a little time now, but many clients have come to regret taking this shortcut afterwards. They did not get to work with someone who understood their needs. Hence they simply continued to do most of the work themselves.

Immigration Paralegal Services (IPS) is on a mission to reduce your operational burden and improve your law firm’s profitability. We want you to develop a long-term relationship with professional paralegals (not a task robot). You can call us old-fashioned, but we want to know who you are, where you need assistance, and whether or not we can help you.

What is the entire sign up process?

To save time, we have designed a process that ensures you get one of our professional Team Members you need in a timely manner. The process is straightforward:

  • You inform us about your requirements
  • We jointly finalise the scope of work
  • You select the package that suits your requirements
  • We sign the retainer agreements and complete the onboarding process
  • We start working for you in 24 to 48 hours
How long is the commitment when signing up for service?

Our services do not need a long-term commitment; Immigration Paralegal Services (IPS) has five ways of serving you.

  • Full-Time Retainers: £12/Hour with 8 hours a day and 5 days a week commitment
  • Part-Time Retainers: £15/Hour with 4 hours a day and 5 days a week commitment
  • Flexible Retainers: £20/Hour with 45 hours commitment
  • Flat Fee: Kindly refer to the Fee Page on our website for more details
  • Annual Retainers: £10/Hour with 8 hours a day and 5 days a week commitment for a year.

Flexible Retainer package allows you to use the hours as needed and renew as and when required. You will be charged for the hours your paralegal spends on your project. As mentioned in our Retainer Agreement, the unused flexible retainer hours can be rolled over. You can utilise them for up to ninety (90) days from the date order.

Retainers, both full-time and part-time, ensure the availability of a dedicated paralegal. You pay a much lower monthly cost because you don’t have to worry about payroll, benefits, or other overheads. Best of all, you’re bringing on a new team member to help you expand your practice. A three-month minimum commitment is required for both full-time and part-time retainers.

You just pay for the service you pick with the Flat-Fees plan, regardless of the number of hours spent on the tasks.

We provide an Annual Retainer package to those clients who need continuous assistance at a significantly discounted rate.

How do I sign up for paralegal services?

It is super easy! We will send you our onboarding documentation once you select the package. This includes Retainer Agreement, Terms of Business, Invoices, etc. Once we complete the onboarding process, we will start working for you as soon as possible within 24 to 48 hours.

What is the turnaround time for onboarding?

The length of the process is determined by how quickly we conclude on you which package you require. We will send you our onboarding documentation once you select the package. This includes Retainer Agreement, Terms of Business, Invoices, etc. Once we complete the onboarding process, we will start working for you as soon as possible within 24 to 48 hours.
