A virtual or contract immigration paralegal is a paralegal who specialises in immigration paralegal support and provides on-demand paralegal services to law firms and corporations. Virtual immigration paralegals perform their duties remotely and offer nationwide paralegal services exclusively to authorised attorneys. They have knowledge of all general immigration matters, laws, legal codes, government regulations and executive orders. They provide their services virtually but work in close coordination with the immigration attorneys.
Regardless of the size of law practice, outsourcing paralegal duties have proven to pay off. Hiring virtual paralegals saves you a lot of time in training and supervising compared to managing a full-time employee. The time you save can be spent developing a business strategy and growing your law firm. Virtual Paralegals leverage the latest technology to provide professional and efficient services with quick turnaround times. They also save you overhead costs, which in turn increases your profit.
Hiring a virtual paralegal can reduce overhead costs drastically. Hiring an in-house paralegal can be expensive in terms of salary, vacation benefits, insurance, etc. And, depending on where you practice, it is sometimes not even sustainable. Virtual paralegals or assistants work remotely and have their own office setup. They can support you without the potentially unaffordable cost of managing a full-time employee.
Often, attorneys are so overburdened with operational tasks that they cannot concentrate on growing their business. A virtual immigration paralegal can provide the support attorneys need in many ways. They:
Generally, for immigration matters of applicants, conflict does not arise as we do not work for Government authorities. However, our paralegals keep a list of the matters on which they have worked, as well as the parties involved. Our paralegals maintain this information since they work for different firms. So, if you want us to run conflict checks for any reason, you can request one.
Our paralegals are supposed to sign a confidentiality agreement before starting any project. They are instructed never to share information about the attorneys or law firms that utilise our services without consent unless and until required by the law. Additionally, all clients’ data is stored and backed up in secure systems protected by firewalls. It has strict and limited authorisation access keeping your data safe and secure.
All team members must sign confidentiality agreements. However, if you still want to sign a separate non-disclosure agreement, you can communicate the same to your Client Success Manager as soon as you start working with us. We will do our best to comply with your requirements.

As mentioned in our Retainer Agreement, the unused flexible retainer hours can be rolled over. You can utilise them for up to ninety (90) days from the date of payment. The unused hours cannot be rolled over indefinitely unless and until our management mentions explicitly the same in writing.
The unused hours do not roll over from month to month for a Full-Time/Part-Time retainer plan. We commit to remain available for the demanded hours by our clients, so their work is not get disturbed, that is the reason we cannot roll over the hours.

Credit card payments are not accepted at this point.
Our billing cycle works differently for month-wise and annual plans. We charge you on the day you join up and then every month after that. If you upgrade your plan between the billing cycle, your billing period will reset from the day of the upgrade. Taking the same instance, if you upgrade your plan on May 30, you will next be billed for your plan on June 30.
For annual plans, You need to pay the whole amount for the entire year beforehand and then you have a full one year (365 days) from the date of purchase to use your hours. If you rely on only remote paralegal support, we can offer an annual plan at a heavily discounted rate.
Once you have signed up for our services, a Client Success Manager is assigned to keep track of your project. We share a Google Sheet that shows all your daily tasks, tasks in progress, tasks completed, the hours you have used and the hours that remain in your plan.

The flexible Retainer package enables you to use our Virtual Paralegals as needed and renew time as your organisation requires. As the name suggests, these retainers are flexible. They give you the option to request activities and projects outside of a predetermined schedule or in an emergency. The used hours will be deducted from the hours purchased. You may choose when and how long you want to use the help with no long-term obligations. Simply purchase the hours anytime you need assistance. After you retain a Flexible Retainer, the virtual paralegal will be available for the purchased hour for ninety (90) days. For instance, if you bought for 50 hours and your law firm needs 30 hours of assistance for a project, you’ll have 20 hours left to use for up to 90 days from the date of purchase. Immigration Paralegal Services (IPS) requires a minimum deposit of 45 hours to start the Flexible Retainer services.
The Full-Time and Part-Time retainer packages provide a sense of security. You get a virtual paralegal with guaranteed availability and pay significantly lower monthly fees. This means you’ll have a dedicated paralegal who will help you grow your law firm in the same way that a regular employee would, but without the employee benefits, office equipment, or other costs that come with having an in-house employee.
Each Full-Time and Part-Time retainer requires a three-month commitment. You will be provided with free billable hours to train your virtual paralegal.
We also provide a fixed-fee service. Refer to our prices page for more information on pricing by application type. You can verify the time spent on the tracking sheet. The extra purchased hours will be added to your time-tracking sheet and monitored.

Immigration Paralegal Services (IPS) advises against disclosing your financial details to anyone. If you wish to disclose this type of information, we recommend that you build a good working connection with your team members first. Even though our team members undergo a thorough interview process, background checks, and sign confidentiality agreements, you must first create a trusting relationship before sharing sensitive information. Treat your Paralegal as if they were a new hire, and build trust as you work together.
You can grant your paralegals access to the use of any software that is necessary for the tasks to be completed. If you require your Team Member to utilise specific software or programmes while working for you, we expect the Client to pay for the software or programme the same way client provides for the in-house team member. Any requests will be met to the best of our ability.
To communicate critical or secret information, we recommend using software like PassCamp or KeeperSecurity. These companies have spent a lot to assure their success and ensure that their software is completely safe and secure.
You have 100% control over who has access to those particulars. You can cancel access at any moment, and you can change your password without informing your Team Member. Our Client Success Manager will be able to assist you through the process.
Our virtual paralegals may support multiple clients at any given time. The timer starts when a task is assigned to the paralegal team, and the paralegals evaluate their workload using their judgement. Based on the scope of the assignment, they determine which Client, project, and job will be completed in which order. Immigration Paralegal Services can approve if you wish to have a dedicated paralegal for your project.
Please send us written notice if you want to stop using Immigration Paralegal Services (IPS) services. You can send an email to arjun@immigrationparalegalservices.com to give notice.

The Immigration Paralegal Services (IPS) staff is well-versed in a variety of software packages and internet technologies. However, you will need to train them in how your company operates and your company’s unique systems and procedures. We provide free billable 4 hours to train your Virtual Paralegals. We prefer that you have a written manual.
Depending on the difficulty, we attempt to accomplish all work as quickly as possible. All tasks are done in the order in which they are received unless the given assignment is marked as urgent. If it is determined that the assignment is an emergency, it will be given top priority and completed as soon as possible.
At any given time, a paralegal may be supporting many attorneys and law firms. Each Paralegal will advise clients of the turnaround time for each project. Clients are asked to provide any turnaround time parameters or expectations when delegating the assignment. High-level work (emergency services) that must be completed in less than 24 hours or weekend help may be subject to approval and additional charges.

Before setting up a regular Annual Review Meeting for each year, your Client Success Manager will plan a more formal 3 Month Review Meeting to see how your first three months have gone and see if there are any areas where you could benefit from further support.
Our team members typically support two to six clients at any given time. But you would be charged for the time spent on your account. Virtual Paralegals remain available to work for you when you select Full-Time/Part-Time retainer packages as per the terms.
To ensure accurate, up-to-the-minute time recording, we use online stopwatch software. We keep track of our time in ‘real-time.’ This means that the timer runs as tasks are accomplished, and when the task is completed, the time is registered.
Our paralegal service is available for all employed people of the Client’s company. Any lawyers at your law firm may utilise the Paralegal. Those lawyers must be employed by your law firm.
Corporate email is a minor feature that makes a big difference. It gives the impression to your clients that your Virtual Paralegal is a member of your firm’s team. This means that instead of using our email address, your Paralegal can use the corporate email of your organisation to correspond on your behalf. Your IT department should assist you with setting up a new email account. Depending on your domain provider, a small price may be necessary to create a new email address. We are not liable for any payments associated with creating a corporate email.

Increasing the turnover by 250% and profit by 450%, I led a loss-making law firm to become highly profitable. Now, I am utilising my skills to help other professionals.
Many law firms, in my experience, spend a lot of money on in-house human resources. There is an excellent opportunity for law firms to save money and increase profits by hiring virtual staff. To assist law firms, I dedicated 6 months of my time to researching the legal process outsourcing industry and learning about document sharing systems. My colleagues are well-experienced law practitioners. We decided to use the technology to help lawyers reduce their operational burden and improve profitability. This is how Immigration Paralegal Services got started.
No, there are no onboarding fees to start working with Immigration Paralegal Services.
Yes, it is mandatory to sign a contract, but we don’t expect any long-term commitments. Our virtual assistant services are available on a three-month rolling contract. We encourage you to provide us with 30 days notice before terminating the contract to stop the auto-renewal.
It’s simple! We start with a no-obligation consultation meeting to discuss your requirements and see how we can help you in the best way possible. We’re the best fit most of the time, but not always. We’ll go over everything with you and assist you in making your decision. It’s all part of our small-business approach. Once you select the package you require, we sign the Retainer Agreement and Terms of Business. We start working for you once the invoice is paid.
Once we’ve had a chance to talk about your requirements and you’ve decided to move forward, we usually set up your account. A professional virtual paralegal will be assigned to your firm within 24 to 48 hours after completing the onboarding process.
Here’s a small secret about the virtual paralegal industry we’ll tell you about. Many of our competitor virtual paralegal firms take shortcuts to save them the “trouble” of actually getting to know you and your business; their programme will randomly assign you any paralegal from the hundreds of virtual assistants enrolled on their system. You sign up in a matter of seconds, and you’re done. You’ve got a new ‘matched’ remote worker to help you out. Their fast access strategy may save you a little time now, but many clients have come to regret taking this shortcut afterwards. They did not get to work with someone who understood their needs. Hence they simply continued to do most of the work themselves.
Immigration Paralegal Services (IPS) is on a mission to reduce your operational burden and improve your law firm’s profitability. We want you to develop a long-term relationship with professional paralegals (not a task robot). You can call us old-fashioned, but we want to know who you are, where you need assistance, and whether or not we can help you.
To save time, we have designed a process that ensures you get one of our professional Team Members you need in a timely manner. The process is straightforward:
Our services do not need a long-term commitment; Immigration Paralegal Services (IPS) has five ways of serving you.
Flexible Retainer package allows you to use the hours as needed and renew as and when required. You will be charged for the hours your paralegal spends on your project. As mentioned in our Retainer Agreement, the unused flexible retainer hours can be rolled over. You can utilise them for up to ninety (90) days from the date order.
Retainers, both full-time and part-time, ensure the availability of a dedicated paralegal. You pay a much lower monthly cost because you don’t have to worry about payroll, benefits, or other overheads. Best of all, you’re bringing on a new team member to help you expand your practice. A three-month minimum commitment is required for both full-time and part-time retainers.
You just pay for the service you pick with the Flat-Fees plan, regardless of the number of hours spent on the tasks.
We provide an Annual Retainer package to those clients who need continuous assistance at a significantly discounted rate.
It is super easy! We will send you our onboarding documentation once you select the package. This includes Retainer Agreement, Terms of Business, Invoices, etc. Once we complete the onboarding process, we will start working for you as soon as possible within 24 to 48 hours.
The length of the process is determined by how quickly we conclude on you which package you require. We will send you our onboarding documentation once you select the package. This includes Retainer Agreement, Terms of Business, Invoices, etc. Once we complete the onboarding process, we will start working for you as soon as possible within 24 to 48 hours.
