I’m not an attorney. Can Immigration Paralegal Services help me with my legal matter?

No – IPS is dedicated to providing its services to authorised law practitioners and does not provide services to members of the general public. However, we have had the privilege to work with many experienced attorneys. We would gladly connect you with an attorney who can help you.

Can Immigration Paralegal Services help me with my personal Immigration Application?

Is there a minimum time commitment?

What is the cost of your services?

We have flexible hiring models, and the rates vary depending upon the plan you select. These rates are not to be confused with the normal hourly employee rates. i.e. When you are paying minimum wage (£9.50/hour), you could end up paying £19.69/hour to an in-house paralegal when you include non-productive hours and overheads; check the calculation here. Virtual immigration paralegals are independent business contractors who work with their own office equipment, computers, software, stationery supplies and other tools.  They do not receive any employee benefits, vacation, sick time, or overtime pay. The rates for our virtual paralegals start from £12 per hour and can go up to £20 per hour depending upon the type of plan you select. We aim to remain cost-effective for our clients in any scenario.

How does the pricing work?

Immigration Paralegal Services offers flexible retainers and fixed-fee plans (Refer to the Fee Page for details). We bill time to the nearest 6-minute increment, and the minimum fee is calculated for is 0.2 hours for any project or matter. We also offer a Flat fee, which is predetermined upon agreement with the client for some projects. If any expenses or costs are incurred for your project, they need to be approved by you in advance and shall be billed separately. However, routine office supplies are our responsibility; we do not bill them to our attorney clients.

We also offer Cost-saving retainers (Full-Time/Part-Time). To avail, such retainers clients should have a designated block of time set aside for their work every month. Utilising this retainer guarantees our availability whenever you need us and saves you money because retainers are priced at a discounted rate.

Does a Virtual Immigration Paralegal work on a flat fee basis?

Absolutely. We offer flat-fee services. You can opt for it if you want complete control over the cost of a particular case.

Are there any monthly minimums?

Do you have a monthly retainer option for attorneys looking for support on a regular basis?

Absolutely! We offer Full-Time and Part-Time retainers with as low as a three-month minimum commitment.

What happens if I don’t use all my hours in a month?

Our expert team helps you choose the plan that’s right for you. We generally suggest clients start with fewer hours in the beginning and add hours as needed. Our experience with attorneys is that they require more hours, not less!

Do my hours roll over for the Flexible Retainer Plan?

As mentioned in our Retainer Agreement, the unused flexible retainer hours can be rolled over. You can utilise them for up to ninety (90) days from the date of payment. The unused hours cannot be rolled over indefinitely unless and until our management mentions explicitly the same in writing.

Do unused hours carry off to the next month for the Full-Time/Part-Time Retainer Plan?

The unused hours do not roll over from month to month for a Full-Time/Part-Time retainer plan. Hence, we suggest clients conservatively estimate the hours of assistance they need before selecting a plan. It’s always preferable to start small, and you can always buy more hours if you need them. We commit to remain available for the demanded hours by our clients, so their work is not get disturbed, that is the reason we cannot roll over the hours.

What happens if I run out of hours with the Full-Time/Part-Time Retainer Plan?

If you come across additional work and run out of hours in your Full-Time/Part-Time retainer plan, you can always buy additional hours at the Flexible Retainer rate. You have 30 days from your order to use your newly purchased hours.

How are payments processed at Immigration Paralegal Services?

We offer a bank transfer and a direct debit option for payment. All our plans are pre-paid, and you start using our services immediately after all payments are made.

Can I change my plan?

Yes. We always cater to your evolving requirements. You can scale your packages up or down every month as your needs vary. You would require to give at least four weeks notice.

How are invoices paid?

We have a payment system wherein we issue a detailed invoice at the beginning of the project or the month. Bill is due when the invoice is received and must be paid within 7 days of the invoice issue date. We accept payments by Bank Transfer or through the platform – Wise. Credit card payments are not accepted at this point.

How does the billing cycle work?

Our billing cycle works differently for month-wise and annual plans. We charge you on the day you join up and then every month after that. For instance, if you sign up on May 24, you will next be billed for your plan on June 24. If you upgrade your plan between the billing cycle, your billing period will reset from the day of the upgrade. Taking the same instance, if you upgrade your plan on May 30, you will next be billed for your plan on June 30.

For annual plans, You need to pay the whole amount for the entire year beforehand and then you have a full one year (365 days) from the date of purchase to use your hours. If you rely on only remote paralegal support, we can offer an annual plan at a heavily discounted rate.

How will I know how many hours I have used?

Once you have signed up for our services, a Client Success Manager is assigned to keep track of your project. We share a Google Sheet that shows all your daily tasks, tasks in progress, tasks completed, the hours you have used and the hours that remain in your plan.

What are Immigration Paralegal Services rates?

We have five different types of fee structures.

  • Full-Time Retainers: £12/Hour with 8 hours a day and 5 days a week commitment

Are there any Set Up Fees?

There are no set-up charges until we need to purchase tools or software for your organisation to begin working for you. If no extra set-up is required, there are no administrative or set up fees, and your retainer fees are applied entirely to your work.

How do I pay?

Is it possible to change the hours of work I get each week?

It is dependent on the plan you choose. With the Flexible Retainers plan, you can use the hours as needed. You can use fixed assigned hours with Full-Time and Part-Time retainers.

Is the hourly rate for night/weekend working higher?

High-level work or emergency services must be completed within 24 to 48 hours.  Also, weekend help may be subject to an upward adjustment. We charge 1.5 times the standard hourly fee for the package you choose. You will be invoiced for hours utilised for emergency work or off the working hours on the next billing cycle.

What happens to fees if I do not have enough work to use it all in 90-days?

Can I upgrade to a higher subscription mid-month or at any time if I sign up for a Subscription Package and misjudge how many hours I require each month?

What is the hourly rate for your Retainer packages?
  • FLEXIBLE RETAINER:

The flexible retainer allows you to use the hours as needed and buy more hours as your caseload increases. Herein, no long-term commitments are required. The purchased hours must be utilised within ninety (90) days. The deposits are as low as 45 hours for the Flexible Retainer package.

Flexible Retainer Rate: £20 / hour

  • FULL-TIME AND PART-TIME RETAINER:

Part-Time retainers work 4 hours per day, five days per week, whereas Full-Time retainers work 8 hours per day, 5 days per week. These retainer packages ensure the availability of a dedicated paralegal, and you pay a monthly fee that is significantly reduced. It requires a minimum commitment of three (3) months.

Full-Time Retainer Rate: £12 / hour;

Part-Time Retainer Rate: £15 / hour

How do Flexible Retainers work at Immigration Paralegal Services?

The flexible Retainer package enables you to use our Virtual Paralegals as needed and renew time as your organisation requires. As the name suggests, these retainers are flexible. They give you the option to request activities and projects outside of a predetermined schedule or in an emergency. The used hours will be deducted from the hours purchased. You may choose when and how long you want to use the help with no long-term obligations. Simply purchase the hours anytime you need assistance. After you retain a Flexible Retainer, the virtual paralegal will be available for the purchased hour for ninety (90) days. For instance, if you bought for 50 hours and your law firm needs 30 hours of assistance for a project, you’ll have 20 hours left to use for up to 90 days from the date of purchase. Immigration Paralegal Services (IPS) requires a minimum deposit of 45 hours to start the Flexible Retainer services.

How do Full-Time and Part-Time Retainers work at Immigration Paralegal Services?

The Full-Time and Part-Time retainer packages provide a sense of security. You get a virtual paralegal with guaranteed availability and pay significantly lower monthly fees. This means you’ll have a dedicated paralegal who will help you grow your law firm in the same way that a regular employee would, but without the employee benefits, office equipment, or other costs that come with having an in-house employee.

Each Full-Time and Part-Time retainer requires a three-month commitment. You will be provided with free billable hours to train your virtual paralegal.

How does Flat-Fee service work at Immigration Paralegal Services?

We also provide a fixed-fee service. Refer to our prices page for more information on pricing by application type. Fees will be understood and agreed upon before work begins, and they will not alter until your instructions, hence the nature of labour required change. If any such changes occur, we will notify you. The fees do not cover disbursements, which are invoiced at cost if and when they arise. Before work may begin, fixed fees must be paid. The fixed fees are non-refundable if you want to cancel the order midway.

Do hours of the package I select rollover?

Flexible retainer hours that have not been used can be rolled over for up to ninety (90) days from the date of order. Unless explicitly authorised in writing by our management, the credit will not be carried over indefinitely. Also, hours for full-time and part-time retainers do not carry over.

Can I see time entries on my retainers in real-time?

Absolutely! You have access to the timesheet, which our Client Success Managers keep track of on a daily basis.

How do I know what my Virtual Paralegal is doing?

You have total access to our virtual paralegal’s tasks list through the time-tracking sheet. They also provide you with a report at the end of each week that shows what tasks have been completed and what activities are still pending, how many hours have been used and how many hours are left. The time-tracking sheet will allow you to track your hours in real-time. If you use all hours of your selected package before the end of the month and need more time, you will be notified. You can verify the time spent on the tracking sheet. The extra purchased hours will be added to your time-tracking sheet and monitored.

How would I communicate with my Virtual Paralegal?

At Immigration Paralegal Services (IPS), we believe that open and frequent communication is the foundation of a successful working partnership. Your Virtual Paralegal can connect with you by email, phone, Skype, Microsoft Team or web conferencing, depending on your preferences. Email or secure cloud-based document-sharing services can all be used to send and receive documents.

How can I share documents with my assigned Virtual Paralegal?

We accept files from Dropbox, Microsoft Sharepoint, Google Docs, email, and other encryption tools. We will consider using your recommended method for document sharing if it is secured.

How do I submit tasks?

Team members are flexible; we will communicate and assign tasks in your preferred manner. Whether you communicate via email, phone, message system/app, project management system/app, or video chat, your Team Member will adapt to your business preferences.

What hours does Virtual Paralegal work?

Our virtual paralegals work from Monday through Friday, 9 a.m. to 6 p.m. The virtual paralegals from Immigration Paralegal Services (IPS) work from different locations. We strive to match you with a Virtual Paralegal (VP) who works in your time zone whenever possible. Of course, we’ll let you know if the VP’s time zone differs from yours. Email requests are accepted 24 hours a day, seven days a week.

What are the standard hours?

The first 8 hours of each day are charged at a standard rate, regardless of whether Virtual Paralegals start early or late. After that, any additional labour after standard working hours is charged at the overtime rate (1.5 times the normal rate); we will notify you and get your consent before doing overtime.

Who has access to my Client's data?

Every matter may be accessed by any of our paralegals, whether they are staff or contractors. Except as provided in its service agreement, a court order by a government agency, or a subpoena, the Virtual Paralegal does not disclose any information about the Client’s matter to any unauthorised person or company. This includes but is not limited to personal information and casework details.

Except for the company’s owner and the owner’s spouse, all contract paralegals are subject to a background check before we hire them.

What are the methods I can communicate with my Virtual Paralegal?

You can interact using whatever manner works best for your law firm and is most convenient. Your Virtual Paralegal will try their best to accommodate your business preferences and communicate with you in your preferred ways such as phone, email, messaging system/application, or even video conferencing.

The upside of being “virtual” is taking advantage of technologies. Simply send us a voice memo, email, text message, or another form of communication, and we’ll start working on the required task.

To communicate critical or secret information, we recommend using software like PassCamp or KeeperSecurity. These companies have spent a lot to assure their success and ensure that their software is completely safe and secure.

You have 100% control over who has access to those particulars. You can cancel access at any moment, and you can change your password without informing your Team Member. Our Client Success Manager will be able to assist you through the process.

Does my Virtual Paralegal work only for me?

Our virtual paralegals may support multiple clients at any given time. The timer starts when a task is assigned to the paralegal team, and the paralegals evaluate their workload using their judgement. Based on the scope of the assignment, they determine which Client, project, and job will be completed in which order. Do you train the Paralegals at Immigration Paralegal Services (IPS)?

We do not train the Team members directly for you. On the other hand, any team member who works with you has the professional experience and expertise to complete the duties you’ve requested. The Immigration Paralegal Services (IPS) staff is well-versed in a variety of software packages and internet technologies. However, you will need to train them in how your company operates and your company’s unique systems and procedures. We provide free billable 4 hours to train your Virtual Paralegals. We prefer that you have a written manual.

What is the turnaround time on the tasks performed?

Depending on the difficulty, we attempt to accomplish all work as quickly as possible. All tasks are done in the order in which they are received unless the given assignment is marked as urgent. If it is determined that the assignment is an emergency, it will be given top priority and completed as soon as possible.

At any given time, a paralegal may be supporting many attorneys and law firms. Each Paralegal will advise clients of the turnaround time for each project. Clients are asked to provide any turnaround time parameters or expectations when delegating the assignment. High-level work (emergency services) that must be completed in less than 24 hours or weekend help may be subject to approval and additional charges.

Are Paralegals flexible in the hours they work? Can they be called on at any time for needed work, including nights and weekends?

Yes, you can request to complete the urgent task outside standard working hours. Each Paralegal works with several attorneys, law firms and informs clients about the turnaround time for each job. Any criteria or expectations for turnaround time should be communicated to the Paralegal by the Client. The work which needs to be completed outside standard working hours (emergency services) that must be completed in less than 24 hours or weekend help may be subject to approval and additional charges.

What does the Client Success Manager do?

Our Client Success Manager is here to not only answer your questions and resolve any issues you may encounter while working with us but also to assist you in getting the most out of the services we provide.

Before setting up a regular Annual Review Meeting for each year, your Client Success Manager will plan a more formal 3 Month Review Meeting to see how your first three months have gone and see if there are any areas where you could benefit from further support.

How many clients are assigned to one Paralegal?

Our team members typically support two to six clients at any given time. But you would be charged for the time spent on your account. Virtual Paralegals remain available to work for you when you select Full-Time/Part-Time retainer packages as per the terms.

To ensure accurate, up-to-the-minute time recording, we use online stopwatch software. We keep track of our time in ‘real-time.’ This means that the timer runs as tasks are accomplished, and when the task is completed, the time is registered.

How many people could use the Paralegal they sign up with at a firm?

Our paralegal service is available for all employed people of the Client’s company. Any lawyers at your law firm may utilise the Paralegal. Those lawyers must be employed by your law firm.

What is a Corporate Email?

Flexible Retainer package allows you to use the hours as needed and renew as and when required. You will be charged for the hours your paralegal spends on your project. As mentioned in our Retainer Agreement, the unused flexible retainer hours can be rolled over. You can utilise them for up to ninety (90) days from the date order.

Retainers, both full-time and part-time, ensure the availability of a dedicated paralegal. You pay a much lower monthly cost because you don’t have to worry about payroll, benefits, or other overheads. Best of all, you’re bringing on a new team member to help you expand your practice. A three-month minimum commitment is required for both full-time and part-time retainers.

You just pay for the service you pick with the Flat-Fees plan, regardless of the number of hours spent on the tasks.
